Office Manager | Integrator
We are looking for our Office Manager | Integrator. What is an Integrator? They are the glue that holds the office together and keeps the whole team rowing in the same direction. They “keep the trains running on time”.
Training will be provided and past experience with leadership or management is preferred (but it’s not necessary to have a healthcare background).

Team motivation is not required in our practice, the team is already dedicated to our mission, and you must be able to lead this with an equal amount of enthusiasm! Where we need help is in the area of hands-on leadership, guidance, and support to allow our Clinic Director and Lead Clinician to focus on office vision and clinical matters. It is extremely important to us that we continue to find ways to allow us to deliver the best service possible to the best patients with our dedicated, fun-loving, and well-established team.
Responsibilities include:
- Putting the vision of our Clinic Director into daily action
- Oversee and hold responsible KPIs for each team member
- Identify areas of process improvement, and make recommendations accordingly
- Creative analysis and problem resolution
- Individual meetings with each team member to review projects, and barriers to completion (identify and implement resolution), and ensure that team member’s needs are met
- Lead meetings: weekly team meetings, quarterly leadership meetings, yearly ownership meetings
- Own the company operating system (our company uses EOS https://www.eosworldwide.com/what-is-eos)
- Integrate the vision for short-, medium-, and long-term projects, create timelines, and be accountable to timelines for completion.
- Management such as time-clock management, calculating and scheduling PTO, communicating holiday pay to our accountant, etc.
- Auditing daily reports and stats sheets
- Follow up on special projects and delegate appropriately
- Manage workload for the team, shifting delegation as priorities evolve
- Complete special projects as needed
- Calendar management
- Vendor management
- Revise training playbook as needed
- Hiring including job postings, interviews, collecting intake paperwork
- Work hand-in-hand with our Clinic Director to execute the business plan, achieving or exceeding planned P&L objectives. Holds accountability for P & L results.
- Leads, manages, and holds the leadership team accountable for achieving agreed-upon commitments.
- Integrates all major operating functions of the business. Ensures everyone is rowing together in the same direction. Models the way, always working toward the greater good of the business.
- Resolves issues effectively – seeing real problems, being comfortable with conflict, calling out the problems, and solving the problems in a practical and healthy manner. Ensures the leadership team is healthy, functional, and cohesive.
- Ensures that everyone is truly following and adhering to the company’s core processes and operating system with consistency. Demonstrates effective project management skills.
- Effectively collaborates with the Clinic Director and stays on the same page. Maintains a high level of mutual respect with the Clinic Director and Lead Clinician. Realizes the unique contributions and ideas that the Clinic Director has and possesses an ability to filter and translate those ideas into functional plans for the company.
- Confirms that all key messages are properly and consistently cascaded across the organization. Inherently ensures that everyone is in the know. Verifies that a high level of effective communication exists throughout the organization.
- Compartmentalizes all the “stuff” making sure that only the top priorities are brought to the Clinic Director.
You’re successfully completing your job when:
- Your Clinic Director can focus on the vision for driving the office toward our goals.
- Your clinicians have everything they need when they need it and appointments/ files happen in a timely manner.
- Your team is working inside of their strengths to the best of their ability and they are happy and content.
- We are growing to meet our desired P & L outcomes but it is not stressful to do so.
